A Pet Relocation Handoff Sheet for Realtors and Household Movers

An interstate home move can involve a family, a real estate agent, a household mover, and a pet transport coordinator—all working from different calendars. The moving truck’s arrival is not the same event as possession of the home, and neither automatically confirms that someone is ready to receive the pets.

A one-page pet relocation handoff sheet connects those moving parts without turning every participant into the trip planner. It records the few facts other people need, names the person responsible for each decision, and makes changes easier to communicate.

Begin with the family’s point person

Choose one family contact who can confirm the pet travel plan with the coordinator. A realtor may know when keys will be available, and a mover may know the loading window, but those roles do not automatically authorize either person to change the pet itinerary or receive an animal.

With the family’s permission, share relevant contact information and identify each person’s role. Keep a separate name and phone number for the adult who will release the pets at pickup and the adult who will receive them at delivery.

Copy these fields into your handoff sheet

  • Last updated: date, time, and the person who made the update.

  • Family decision-maker: name and best contact number.

  • Pet trip: pets traveling, agreed service, pickup address, and delivery address.

  • Timing: proposed or confirmed pickup and delivery windows, with the local time zone for each location.

  • Property access: when the family expects access and who will confirm that it is actually available.

  • Handoff adults: authorized pickup and receiving contacts, plus a backup agreed with the coordinator.

  • Moving activity: loading or unloading windows that could affect parking or a clear path to the door.

  • Open questions: the unresolved detail, its owner, and when that person expects an update.

Mark uncertain entries clearly. “Closing expected Thursday” and “family has keys and can receive pets Thursday” are different statements. An empty field is better than a guess that someone else mistakes for confirmation.

Share the minimum useful information

The household mover usually needs to know which pet supplies must stay off the truck and whether loading overlaps the pet handoff. A real estate contact may only need to confirm access or the timing of a walkthrough. Neither needs the family’s entire pet travel file.

Keep payment details, private contracts, and sensitive access information out of a broadly shared sheet. Give necessary access instructions directly to the appropriate person through the agreed communication channel. Ask before adding another vendor or relative to the conversation.

Give schedule changes a clear route

Write down who will notify the pet coordinator if possession, loading, or the family’s travel plans change. Then ask the coordinator to confirm what the change means for the pet itinerary. A forwarded message about a delayed closing is useful information, but it is not itself an agreed transport adjustment.

Use one current version of the sheet rather than several competing copies. Highlight what changed and retire the old version. For example, update the receiving adult’s number in the shared plan instead of leaving the correction buried in a separate text conversation.

Keep the services distinct

Pets Paws & Pals pet transport complements household movers; it is not household moving or real-estate service. Your mover handles the household shipment, your real estate professionals handle their part of the property transaction, and your pet coordinator helps organize the animal travel details.

Pet Express focuses on one family’s pets and offers itinerary flexibility to discuss during planning. Owner Ride-Along is another option to discuss if you want to travel with your pet. Neither choice removes the need to confirm access, receiving arrangements, and the actual schedule with the coordination team.

Review the sheet before moving day

Check that the pickup and delivery adults still expect to be available, that addresses are complete, and that agreed pet supplies remain separate from packed boxes. Give unresolved items an owner instead of assuming someone else is handling them.

Starting early gives your family more planning time and date options—not a guaranteed date or a promise that every change can be accommodated. Explore our pet transport services and use the pet belongings inventory alongside your handoff sheet. A few clear details help everyone keep the family’s pets in the plan.
